Mobile & Remote
Online Notary
Convenient notarization when and where you need it.
ProExpress Process provides both Mobile Notary and Remote Online Notary (RON) services for individuals, businesses, law firms, and other organizations that need documents notarized efficiently and professionally.
Choose an in-person mobile appointment at an agreed location or, when the document and circumstances qualify, complete the notarization remotely through an authorized online notarization process.
📘 What Is a Notary Service?
A notary public is commissioned to perform certain official acts related to document execution, including taking acknowledgments, administering oaths or affirmations, and witnessing or certifying signatures when authorized.
The notary’s role is generally to verify the identity of the signer, confirm the required personal appearance, complete the appropriate notarial certificate, and perform the notarization in accordance with applicable requirements.
A notary does not determine whether a document is legally sufficient or provide legal advice unless separately authorized to do so.
🚗 Mobile Notary Service
We Come to You
Mobile notary service brings an in-person notary appointment to a convenient agreed location rather than requiring you to travel to a notary office.
Appointments may be arranged at locations such as:
🏠 Homes
🏢 Offices
⚖️ Law firms
🏥 Hospitals or healthcare facilities
🏨 Hotels
🏦 Businesses
☕ Other agreed public or private locations
Mobile notarization is useful for clients who need flexibility, have limited transportation, are handling time-sensitive documents, or simply prefer the convenience of an on-site appointment.
💻 Remote Online Notary (RON)
Notarize Eligible Documents Online
Remote Online Notarization allows an eligible notarization to be completed through a secure two-way audio and video session rather than requiring the signer and notary to be physically present in the same location.
In Texas, an online notary is separately commissioned by the Texas Secretary of State and must perform the notarization using technology that meets applicable identity-verification, credential-analysis, digital-certificate, electronic-seal, and recordkeeping requirements.
RON can be especially useful when:
🌎 The signer is outside the Austin area
✈️ The signer is traveling
🏠 The signer prefers to complete the transaction from home
⏱️ Scheduling an in-person appointment is difficult
👥 Multiple parties are located in different places
💼 A business needs a faster and more flexible notarization option
Availability depends on the document, transaction, and applicable legal requirements.
📑 Documents Commonly Presented for Notarization
We may assist with a broad range of documents requiring an acknowledgment, oath, affirmation, or other authorized notarial act.
📝 Affidavits & Sworn Statements
Documents containing statements that a signer is required to swear or affirm are true.
Depending on the document, the signer may be required to take an oath or affirmation before the notary.
🏠 Real Estate Documents
Documents related to real-property transactions may require notarized signatures, depending on the nature of the document and transaction.
These may include certain deeds, affidavits, acknowledgments, or other real-estate-related documents.
⚖️ Legal Documents
Certain court, litigation, estate-planning, family-law, or transactional documents may require or include notarized signatures.
The requesting party or document preparer should determine the specific notarization required.
💼 Business Documents
Business agreements, corporate resolutions, authorization documents, certifications, and other commercial documents may require notarized signatures.
💰 Financial Documents
Certain financial forms, declarations, authorizations, or transaction documents may require notarization.
Personal & Family Documents
Notarization may be requested for various personal documents, including certain parental authorizations, travel-related forms, declarations, and other signed statements.
🧾 Powers of Attorney
Certain powers of attorney and related authorization documents may require or benefit from notarization depending on the circumstances and applicable requirements.
📂 Other Documents
Additional documents may be notarized when the requested notarial act is permitted and all applicable requirements can be satisfied.
🚗 How Mobile Notary Service Works
1️⃣ Request an Appointment
Provide your preferred date, time, location, number of signers, and a general description of the documents.
2️⃣ Confirm the Appointment
We review the request and confirm availability, location, and any applicable travel or service fees.
3️⃣ Prepare Your Documents
Documents should generally be complete and ready for signing unless the document specifically requires portions to be completed in the notary’s presence.
Do not sign a document in advance when the required notarial act requires the signature to occur before the notary.
4️⃣ Meet the Notary
The signer appears in person with acceptable identification and the documents requiring notarization.
5️⃣ Complete the Notarization
The appropriate notarial act is performed and the notarial certificate is completed.
6️⃣ Receive Your Documents
After the notarization is completed, the documents are returned to the signer or handled according to the agreed instructions.
💻 How Remote Online Notarization Works
1️⃣ Submit Your Request
Provide information about the document, signer, and requested notarization.
2️⃣ Document Review
We determine whether the requested notarization appears suitable for remote online notarization and whether additional information is needed.
3️⃣ Identity Verification
The signer completes the required identity-verification process through the authorized online notarization platform.
Texas online notarization procedures require compliant identity proofing and credential analysis unless another permitted identification method applies.
4️⃣ Join the Online Session
The signer and online notary meet through a secure two-way audio and video conference.
5️⃣ Sign & Notarize
The eligible electronic document is signed and the online notary applies the required electronic signature, digital certificate, and electronic notary seal.
6️⃣ Receive the Completed Document
After completion, the notarized electronic document can be provided according to the transaction or platform process.
🪪 Identification Requirements
A notary must be able to establish the signer’s identity using a legally permitted method.
For an in-person notarization, this commonly involves acceptable government-issued identification or another legally authorized identification method.
For remote online notarization, the signer may also be required to complete electronic credential analysis and identity proofing through the online notarization platform.
Clients should ensure that their identification is current, legible, and available before the appointment.
✅ What to Have Ready
To help your appointment go smoothly, have the following available:
📄 The complete document requiring notarization
🪪 Acceptable identification
👤 All required signers
👥 Any required witnesses
📧 A valid email address for online notarization
💻 A compatible device with camera, microphone, and internet connection for RON
📍 The correct appointment location for mobile service
If witnesses are required, confirm in advance whether they will be provided by the client or whether additional arrangements are needed.
🔍 Acknowledgment vs. Jurat
Not every notarization is the same.
✍️ Acknowledgment
An acknowledgment generally involves the signer appearing before the notary and acknowledging that they signed the document willingly for its stated purpose.
The signature may sometimes have been made before the appointment, depending on the document and applicable requirements.
🙋 Jurat / Oath or Affirmation
A jurat generally requires the signer to sign the document in the notary’s presence and swear or affirm that the statements contained in the document are true.
If you are unsure which notarial act your document requires, the notary cannot choose the certificate for you. The document preparer, receiving agency, or attorney may need to provide that instruction.
🏥 Hospital, Senior & Assisted-Living Appointments
Mobile notary appointments may be available for clients located in:
🏥 Hospitals
🏡 Assisted-living communities
🧓 Senior-living facilities
🏠 Private residences
🏢 Rehabilitation or care facilities
For these appointments, the signer must still be able to participate in the notarization and satisfy the applicable identification, willingness, awareness, and other legal requirements.
A family member cannot direct the notary to complete a notarization when the signer is unable to personally participate as required.
🏢 Business & Law-Firm Notary Support
ProExpress Process can also provide notary support for law firms and businesses that regularly require notarized documents.
Services may include:
📄 Client document notarization
🏢 Office appointments
👥 Multiple-signer appointments
📆 Scheduled recurring appointments
🚗 On-site mobile support
💻 Remote online notarization when eligible
This can be particularly useful for firms and businesses that prefer one coordinated provider for process service, courier, litigation-support, and notary needs.
⚠️ Remote Online Notary Limitations
Not every document can or should be notarized remotely.
Document eligibility can depend on:
• The type of document
• Applicable state or federal law
• Requirements of the receiving institution
• Whether electronic signatures are permitted
• Whether the receiving party accepts remote online notarization
• The location and circumstances of the signer
Texas specifically excludes wills, codicils, and testamentary trusts from the state’s electronic-transactions framework, and the Texas Secretary of State states that these documents cannot be executed through Texas remote online notarization in the manner used for ordinary electronic documents.
When in doubt, clients should confirm acceptance requirements with the attorney, agency, court, title company, lender, or other organization receiving the document before scheduling RON.
🔐 Secure Remote Notarization
Texas online notaries must use technology meeting state requirements for online notarization.
This includes requirements involving:
🔐 Identity proofing
🪪 Credential analysis
🎥 Two-way audio/video communication
✍️ Electronic signatures
🔏 Digital certificates
📜 Electronic notary seals
🗂️ Electronic records of the notarization
Texas requires online notaries to maintain the required electronic record, including the audio-video recording, for five years.

❓ Frequently Asked Questions
Can the notary come to my home or office?
Yes. Mobile notary appointments can be arranged at an agreed location based on availability and service area.
Can I notarize a document completely online?
Certain documents can be notarized remotely when the transaction qualifies for Remote Online Notarization and the applicable requirements can be satisfied.
Do I need identification?
Yes. The notary must be able to verify the signer’s identity using an authorized identification method.
Can I sign the document before the notary arrives?
It depends on the type of notarization. For some acknowledgments, a prior signature may be acceptable, while a jurat generally requires signing in the notary’s presence. If you are unsure, it is safer to wait before signing.
Can you tell me which type of notarization I need?
The notary cannot provide legal advice or select a notarial certificate on behalf of the signer. The document preparer, attorney, receiving agency, or other requesting party should identify the required notarial act.
Can you notarize documents for someone in a hospital?
Potentially, yes. The signer must still be able to personally participate and satisfy all applicable notarization requirements.
Can witnesses be provided?
Witness requirements vary by document. Any need for witnesses should be identified when scheduling so appropriate arrangements can be discussed.
Can someone outside Texas use your Remote Online Notary service?
Potentially. A Texas online notary must be physically located in Texas when performing the online notarization, while the signer may be located elsewhere, subject to applicable requirements and acceptance of the notarization.
Are all documents eligible for Remote Online Notarization?
No. Some documents, transactions, or receiving organizations may prohibit or decline remote notarization.
