LEGAL TECHNOLOGY SOLUTIONS

Microsoft 365 &

Cloud Services

A connected workspace. Better-controlled access. Technology that supports the way your firm works.
ProExpress Process helps small law firms and professional businesses set up, organize, secure, and manage Microsoft 365 and supporting cloud services.
Whether you are establishing a new office, improving an existing environment, supporting remote employees, or moving away from disconnected systems, we help build a workspace around your team’s actual needs.
Our focus is straightforward: make everyday work easier to manage while strengthening control over business accounts, devices, and information.
🧭 What Are Microsoft 365 & Cloud Services?
Microsoft 365 brings together productivity applications, business email, file storage, and collaboration tools, with available features depending on the subscription selected. These tools can support document creation, communication, shared workspaces, and administration within a connected environment.
Our service covers the planning, configuration, migration, and ongoing management needed to put that environment to work.
Depending on your requirements, the solution may also include Windows 365 Cloud PCs, device management, additional security controls, backup services, or Azure-based integrations. These components are assessed separately rather than assumed to be included in every engagement.
🛠️ What We Help You Set Up & Manage

📧 Business Email & Shared Calendars
Give your team a professional communication setup using Outlook and Exchange Online for business email and calendaring.
We help configure business-domain email, individual and shared mailboxes, email aliases, calendar access, and appropriate mailbox permissions. Support may also include resolving delivery problems, reviewing forwarding arrangements, and organizing shared addresses for functions such as intake, billing, or administration.

📁 File Organization & Controlled Sharing
Create a clearer structure for documents, internal resources, and shared work.
SharePoint supports team-based document libraries and collaboration, while OneDrive supports individual work files and sharing. Both provide controls for managing access and collaboration.
We help establish folder or library structures, access groups, sharing settings, and ownership responsibilities. For law firms, the proposed structure can separate administrative information, internal resources, and approved matter-related workspaces.

💬 Microsoft Teams & Collaboration
Bring conversations, meetings, and shared work into a more organized environment.
Microsoft Teams supports chat, online meetings, and collaboration with files connected to SharePoint and OneDrive.
We help configure teams, channels, membership, guest access, and meeting settings around how your organization communicates. The objective is a usable collaboration structure—not an expanding collection of channels that nobody maintains.

🔐 Identity & Access Management
Control who can access business systems and under what conditions.
Microsoft Entra ID supports identity management, while Conditional Access can apply requirements such as multifactor authentication or device compliance before allowing access to designated resources. Available capabilities depend on licensing.
We help configure user accounts, access groups, administrative roles, sign-in protections, and access policies appropriate to the organization. Permissions are structured around job responsibilities rather than giving every employee broad access.

💻 Device & Application Management
Manage business devices with more consistency and fewer one-off configurations.
Microsoft Intune supports device enrollment, configuration, application deployment, updates, and protection of work applications and data. Available controls vary by operating system and management method.
Our support may include preparing employee devices, deploying approved applications, applying security settings, reviewing device compliance, and defining how company-owned and personal devices may access business information.

🛡️ Email & Endpoint Protection
Strengthen protection around the systems employees use every day.
Microsoft’s security offerings include tools for defending against phishing, malicious email content, malware, and endpoint threats. Microsoft 365 Business Premium includes specific identity, device-management, and threat-protection capabilities.
We help review available protections, configure applicable policies, and establish responsibilities for responding to alerts. Monitoring coverage and incident-response services are defined in the service agreement rather than assumed to be included.

🖥️ Windows 365 Cloud PCs
Provide an eligible employee with a Windows workspace hosted in Microsoft’s cloud.
Windows 365 delivers Cloud PCs that users can access remotely, with management options depending on the edition selected.
We help assess suitability, select an appropriate configuration, provision access, deploy required applications, and apply relevant management policies.
A Cloud PC is an option—not a requirement for every employee. We assess application compatibility, connectivity, job responsibilities, and cost before recommending deployment.

⚙️ Azure & Cloud Integrations
Connect selected systems when your workflow requires more than standard application settings.
Azure services such as Azure Functions can support scheduled tasks, application interfaces, and event-driven processing between systems.

Project work may include approved data transfers, operational notifications, reporting connections, or integrations with existing business applications. Each integration is assessed for compatibility, permissions, security, maintenance requirements, and ongoing cloud costs.

🚚 Microsoft 365 Setup & Migration
🏢 New Business or Office Setup
Establish your Microsoft 365 environment with an agreed structure for accounts, email, collaboration, access, and administration.
We begin with the people and workflows the system needs to support, then configure the selected services accordingly.

🔄 Migration from an Existing Environment
Move supported email or files into Microsoft 365 through a planned transition.
Migration planning includes reviewing the source environment, identifying what needs to move, checking permissions, selecting an appropriate method, and scheduling the change with your team.
Microsoft provides migration options for supported file shares and cloud content, but the appropriate approach depends on the source and destination.

🧹 Existing Environment Review & Cleanup
Already using Microsoft 365 but unsure how it was configured?
We can review account structure, administrative access, licenses, sharing arrangements, device management, and selected security settings. Findings are organized into practical recommendations, with changes prioritized around the agreed risks and operational needs.

Migration work is planned to reduce disruption, not presented as a guarantee of zero downtime.
👥 Employee Onboarding & Offboarding
Technology access should follow the employee lifecycle.

➕ When Someone Joins
We help prepare approved accounts, assign licenses, configure email, provide access to relevant resources, and arrange required applications or devices.
The goal is a repeatable onboarding process with clearly defined approvals and responsibilities.

🔄 When Responsibilities Change
We review access when employees move between roles, departments, or assignments.
Permissions can then be adjusted to reflect the new responsibilities rather than simply accumulating over time.

➖ When Someone Leaves
We coordinate access removal and the approved handling of business information. Microsoft’s offboarding guidance includes blocking access, preserving required email and files, and transferring access to authorized employees where appropriate.
Account deletion, license removal, and data preservation are treated as separate decisions. For law firms, any applicable preservation instructions should be confirmed with the responsible attorney before changes are made.
🗂️ Backup, Retention & Recovery Planning
Keeping information in the cloud does not eliminate the need to decide how it should be retained and recovered.
Microsoft distinguishes between service resilience, file versioning, legal holds, and backup recovery. These functions address different needs and should not be treated as interchangeable.
We help review which information needs protection, how long it should remain available, who is responsible for it, and what recovery process is appropriate.
Depending on the engagement, this may include evaluating backup options, configuring selected retention settings, documenting recovery procedures, and testing agreed restore scenarios.
Backup coverage, retention periods, recovery testing, and associated costs are defined in the scope of service.
🔄 How the Service Works
1️⃣ Tell Us What Needs to Improve
Start with your current challenges: unreliable email, scattered files, remote-access difficulties, inconsistent device setup, staff changes, or an upcoming migration.

2️⃣ Review the Existing Environment
With authorized access, we review the relevant accounts, subscriptions, systems, configurations, and dependencies.

3️⃣ Agree on the Scope
We define the proposed work, priorities, responsibilities, licensing requirements, costs, and expected deliverables before implementation.

4️⃣ Configure, Migrate & Test
Approved changes are implemented and tested against the agreed requirements. Where appropriate, changes are introduced in stages before wider rollout.

5️⃣ Prepare the Team & Document the Setup
We provide practical guidance for affected users and document the agreed configuration, access arrangements, and administrative responsibilities.

6️⃣ Continue with Support or Handover
The engagement concludes with a documented handover or continues under an agreed management and support arrangement.
🤝 Project Support or Ongoing Management
🛠️ Setup & Improvement Projects
For a defined requirement such as establishing Microsoft 365, migrating email, reorganizing shared files, deploying Cloud PCs, or improving selected security settings.

🔧 Ongoing Administration
For organizations that need continuing help with accounts, licenses, access changes, selected device-management tasks, and routine administration.

🧩 Support Alongside Your Existing Team
For firms that already have internal staff or another provider but need assistance with a specific Microsoft 365 or cloud requirement.
Support hours, response targets, monitoring responsibilities, and excluded services are agreed in writing.
📋 What You Receive
Depending on the engagement, deliverables may include:
•    An environment review and action plan identifying agreed priorities.
•    Configured services and validated changes within the approved scope.
•    Administrative documentation covering access, settings, ownership, and responsibilities.
•    User guidance and handover information for the affected systems.
•    An ongoing support arrangement when included in the agreement.
Your organization’s administrative access and responsibility for its environment are addressed as part of the setup and handover.
💳 Licensing & Service Scope
We review subscription requirements against the work each user needs to perform. Microsoft 365 plans differ in their applications, collaboration features, and security capabilities, including options with and without Teams.
The proposal identifies which subscriptions and services are required and whether they are included in the quoted fee or billed separately.
Cloud PCs, additional backup services, custom integrations, and other add-ons are not automatically included simply because the organization uses Microsoft 365.
Pricing depends on the number of users and devices, the condition of the existing environment, migration complexity, and the level of ongoing support required.
❓ Frequently Asked Questions
We already have Microsoft 365. Can you improve our existing setup?
Yes. An engagement can focus on reviewing and improving the current environment rather than replacing it. The scope may address account management, file organization, sharing, device configuration, security settings, or administration.

Can you help move our email and documents?
Yes, subject to reviewing the current systems and the information that needs to move. Source compatibility, permissions, data volume, and business dependencies are assessed before a migration is planned.

Is Windows 365 the same as Microsoft 365?
No. Microsoft 365 provides applications and services for productivity and collaboration. Windows 365 provides a cloud-hosted Windows desktop. They can work together, but they are different services with different licensing requirements.

Can you support both Windows and Mac devices?
Supported Windows and macOS devices can be managed through Microsoft Intune, but available features and requirements differ by platform. We review the actual devices before recommending a management approach.

Do we need to replace our practice-management software?
Not as a default part of this service. We first assess how Microsoft 365 should work alongside your existing applications. Replacements or integrations require a separate operational and technical review.

Is backup automatically included?
Do not assume it is. The engagement must specify the backup service, protected information, retention period, and recovery responsibilities. Microsoft’s native resilience and retention features are not the same as a defined backup-and-restore arrangement.

Does this service guarantee security or compliance?
No. We do not promise complete protection against every threat or guarantee compliance through software configuration. We implement the agreed controls, document limitations, and identify responsibilities that require ongoing attention.

Can we request a one-time project instead of monthly support?
Yes. The engagement can be structured around a defined project, ongoing administration, or support alongside your existing technology team.
