LEGAL TECHNOLOGY SOLUTIONS

Automation Services

Less repetitive work. Clearer handoffs. More time for your clients.
ProExpress Process helps small law firms and professional businesses connect their systems and automate routine administrative tasks.
From client intake and status updates to employee onboarding, approvals, and management reporting, we design workflows that move information to the right place and prompt the next action.
Our focus is practical: reduce unnecessary manual work while keeping your team in control of important decisions.
🧭 What Is Workflow Automation?
Workflow automation uses defined rules to carry out tasks when a particular event occurs, someone starts a process, or a scheduled time arrives. For example, a submitted form can initiate a review request, or a scheduled workflow can collect information for a management report. Microsoft Power Automate supports event-triggered, manually initiated, and scheduled workflows.
At ProExpress Process, we begin by understanding how your process should work—who is responsible, what information is required, and which decisions need human approval.
Then we automate the repeatable steps.
The goal is not to automate everything. It is to automate the right work without losing oversight.
🛠️ What We Help Automate

The following are examples of workflows we can assess and scope around your existing systems, available integrations, and business requirements.

📝 Client Intake & Service Requests
Turn incoming requests into an organized process rather than leaving them scattered across inboxes.
We help connect supported forms and intake channels to your approved tracking system. A workflow can check required information, create a request record, assign an initial review task, and send an acknowledgment.
For law firms, case acceptance and conflict-review decisions remain with the authorized team.

Example workflow:
Form submitted → Request recorded → Team member assigned → Acknowledgment sent.

📧 Client Status Updates & Notifications
Keep clients informed without requiring staff to write the same routine updates repeatedly.
We help configure approved messages around designated events, such as a request being received, additional information being needed, or an assignment reaching a confirmed milestone.
For businesses using monday.com and Outlook, supported integrations can connect board activity with email communication, subject to account and integration requirements.
The design identifies which status changes may trigger a message, who should receive it, and which information may be included. Internal notes and unrelated board changes are kept outside the client-notification workflow.
Example workflow:
Approved status changes → Recipient and required fields checked → Approved message sent → Outcome recorded.

📋 Task Assignment, Reminders & Escalations
Give each step a clear owner and make outstanding work easier to identify.
We help design workflows that assign tasks, notify the next responsible person, issue reminders, and escalate unresolved items according to approved rules.
For example, monday.com supports automations based on status changes and dates, including notifications and changes to supported board fields.
Reminders use dates and rules approved by your organization. They are not a substitute for attorney review of legal deadlines.

✅ Approvals & Internal Requests
Move requests through a defined approval process instead of relying on scattered email conversations.
Workflows may cover purchases, expenses, equipment requests, document reviews, access changes, or other internal decisions.
Microsoft Power Automate supports approval workflows that notify designated reviewers and wait for their response before proceeding.
We help establish approval levels, required information, reminders, and the action to take after approval or rejection.
Example workflow:
Request submitted → Manager reviews → Decision recorded → Approved next step begins.

📂 Document Organization & Review
Reduce repetitive administrative work around documents.
Depending on the supported applications, projects may include creating approved folder structures, applying naming conventions, routing uploaded files to reviewers, and preparing documents from approved templates and verified information.
Document-generation workflows are designed around your organization’s review requirements. Preparing a document does not automatically authorize its release, signature, or filing.

👥 Employee Onboarding & Offboarding
Coordinate the tasks that connect human resources, management, and IT.
An approved staffing request can initiate a checklist for account preparation, device provisioning, application access, orientation, and training assignments.
Offboarding workflows can notify responsible staff, track equipment returns, and route access-removal or data-handover tasks for authorized action.
Sensitive changes—such as deleting information, disabling critical accounts, or wiping devices—remain subject to the agreed approval and preservation process.

💳 Billing Administration & Payment Follow-Up
Organize the administrative steps surrounding invoices and payment status.
Where supported, workflows may route invoice requests for review, notify staff of missing billing information, send approved reminders, or update an operational record after confirmation from the billing system.
The workflow uses the designated financial system as the reference for payment status. A manually changed task label is not treated as proof that a payment has been received.
Financial approvals, payment instructions, and fund transfers remain outside the workflow unless expressly reviewed and authorized.

📊 Operational Reporting & Management Summaries
Reduce the need to rebuild the same report by hand.
We help scope scheduled collection of approved information for summaries such as incoming requests, outstanding tasks, completed assignments, onboarding progress, or unresolved support issues.
The design defines what each metric means, where the information comes from, and when it was last updated. Missing or failed data transfers are flagged rather than presented as complete results.

🎓 Training Reminders & Completion Tracking
Keep required training visible after assignments are issued.
Where the training platform provides suitable access, workflows can identify outstanding assignments, send approved reminders, and prepare completion summaries for authorized managers.
This can support cybersecurity awareness programs, phishing-simulation follow-up, employee orientation, and other internal training requirements.
Reminder frequency and escalation rules are agreed in advance to avoid unnecessary messages or duplicate follow-up.

🔗 Connecting the Systems You Already Use
We assess existing features before recommending additional software or custom development.

☁️ Microsoft 365 & Power Automate
For suitable Microsoft-based environments, we can assess workflows involving email, shared information, internal notifications, approvals, and scheduled administrative tasks.
Power Automate connects supported applications through connectors, with the available functions depending on the services and permissions involved.

📋 monday.com & Operational Workflows
For organizations using monday.com, we help organize boards and automation rules around the work being tracked.
Projects may involve task ownership, designated status changes, notifications, reminders, and movement between workflow stages. monday.com supports custom trigger, condition, and action combinations within its available automation capabilities.

⚖️ Practice-Management & Business Applications
We review whether your legal, accounting, customer-management, or other business applications provide the connections needed for the proposed workflow.
For example, MyCase offers an Open API for eligible subscriptions, but access and available functions must be confirmed before a custom integration is developed.
An API is an authorized way for applications to exchange information. Its availability does not mean that every field or action can be integrated.

⚙️ Custom Cloud Integrations
When built-in features are insufficient, a separately scoped integration may be appropriate.
Azure Functions can support scheduled processing, web-based interfaces, and event-driven tasks that connect business systems.
Custom projects are assessed for development effort, security, maintenance, usage costs, and long-term ownership—not just whether the initial connection can be made.
🔐 Automation with Appropriate Controls
👤 Keep Important Decisions with the Right People
We identify which actions can proceed automatically and which require approval.
Case acceptance, sensitive communications, privileged access, financial actions, and information deletion receive specific attention during planning.
Your organization approves the rules. The workflow carries out the authorized steps.

📂 Control What Information Moves
We define which system holds the authoritative record, which fields may be transferred, and who may access the destination.
Permissions and connection credentials are reviewed as part of implementation. Where applicable, Power Platform data policies can restrict how connectors are used together and help enforce approved data-sharing boundaries.
The objective is to connect the necessary information—not copy every record into every application.

🔁 Plan for Errors, Duplicates & Interruptions
An automation needs a failure path as well as a successful one.
We design appropriate checks for missing information, duplicate requests, repeated status changes, and unsuccessful actions. Depending on the platform, this may include controlled retries, error records, alerts, and a manual review queue. Microsoft’s Power Automate guidance provides mechanisms for these types of error handling.
For actions such as sending messages or creating records, the design considers whether retrying could cause an unwanted duplicate.

🛑 Make Pausing & Recovery Part of the Design
Your team should know who owns the workflow, how to report a problem, and how authorized staff can stop it when necessary.
We document the agreed fallback process so critical work can continue manually when an integration is unavailable or requires repair.
🔄 How the Service Works
1️⃣ Review the Current Process
We identify the repeated work, the people involved, the systems being used, and the outcome you want to improve.
We also review exceptions and existing problems before deciding what should be automated.

2️⃣ Define the Workflow
We document the trigger, required information, actions, approvals, responsible owner, and handling of incomplete or failed requests.
The proposal identifies the scope, assumptions, dependencies, and costs.

3️⃣ Build & Test
Approved workflows are configured and tested using representative scenarios.
Testing includes normal requests and exceptions such as missing fields, rejected approvals, duplicate submissions, and unavailable connections.

4️⃣ Pilot & Launch
Where appropriate, the workflow is introduced to a limited group or a single process before wider use.
Your team reviews the results and confirms readiness for launch.

5️⃣ Document, Handover & Maintain
We provide the agreed instructions and ownership information.
Ongoing monitoring, troubleshooting, and modifications can be included in a support arrangement or handled through separately approved work.
📑 What You Receive
Depending on the engagement, deliverables may include:
•    A workflow map and approved scope showing what starts the process, what happens next, and who is responsible.
•    Configured automations and test results covering the agreed functions and exception scenarios.
•    Operating and handover instructions explaining routine use, approvals, failure handling, and escalation.
•    Maintenance recommendations or ongoing support identifying dependencies, ownership, and future changes.
Your organization’s access to the workflow, configuration, and any custom project deliverables is addressed in the agreement.
📈 Measuring Whether It Helps
We agree on useful measures before implementation rather than promising a fixed number of hours saved.
Depending on the process, evaluation may compare staff handling time, repeated data entry, response delays, overdue tasks, duplicate records, or the number of requests needing manual correction.
The question is practical:

Does the workflow remove enough repetitive work to justify its cost and upkeep?
When a simpler process change or an existing application feature would meet the need, that should be considered before building a custom integration.
🤝 Project Setup & Ongoing Support
Automation services can be arranged around one defined workflow, several connected processes, or continuing maintenance of an agreed automation environment.
Your proposal separates implementation work from recurring software, hosting, and support charges. Power Automate licensing can vary according to the connectors and capabilities used, including premium or custom integrations.
Ongoing support can cover agreed failure reviews, connection problems, approved adjustments, and updates following changes to connected systems.
Monitoring hours, response arrangements, included modifications, and third-party costs are defined in writing.
❓ Frequently Asked Questions
Can we start with one process?
Yes. An engagement can focus on a single repeatable task, such as intake acknowledgments, client status updates, approval requests, or management reporting.

Can you automate emails when a status changes?
We can assess that workflow using your supported platform and email connection. The design specifies the triggering status, approved recipients, message content, and checks intended to prevent unintended or duplicate messages.

Do we need to replace our current software?
Not necessarily. We first review the capabilities of your existing applications and whether their supported connections meet the requirement. Replacement software is not the default recommendation.

Does automation have to use artificial intelligence?
No. We can design workflows around defined rules, approved templates, and human decisions without adding AI. Any proposed AI-assisted feature receives a separate review of its purpose, data access, and oversight requirements.

Can every application be connected?
We do not promise universal compatibility. The assessment must confirm the available integration methods, subscription requirements, permissions, and supported actions before the project is accepted.

What happens if an automation fails?
The agreed design specifies how failures are recorded, who is notified, and when work should move to manual review. Ongoing investigation and repair depend on the support coverage selected.

Will automation replace professional judgment?
That is not the purpose of this service. We design workflows to handle agreed administrative steps while leaving legal, financial, and other consequential decisions with authorized people.
⚙️ Ready to Reduce Repetitive Work?
Start with the task your team keeps copying, chasing, re-entering, or repeating.
ProExpress Process can help turn that task into a defined workflow with clear ownership, appropriate approvals, and a practical support plan.
